Guide

A booking should prepare the visit, not start a scavenger hunt.

If someone has to rebuild the client file before every call, the calendar is lying. The time is booked. The work is not ready.

What ready means

The contact exists. The time is on a task or deal. The client has a confirmation and anything they should bring. The team has the notes. That is the whole job of prep.

Where it usually breaks

The booking tool knows. The CRM does not. Slack does not. The confirmation is a default template that forgets the address. Someone fixes it by hand, until they do not.

What the system does

On a new booking it creates or updates the contact, writes the task with the time, sends the confirmation, and notifies the team. Optional: a row in the tracking sheet so you can see the week at a glance.

Who this is for

Consultants, clinics, contractors, anyone who books a call or a site visit. If no-shows or missing notes are the weekly fire, start here.
