What an HVAC answering service does

An HVAC answering service picks up when your office is closed. Ours is an AI voice agent set up for your company: it answers in your name, asks what is going on with the system, marks urgent calls by your rules, takes the details, and sends them to you. It is part of our after-hours answering service for trades.

Daytime: optional overflow

After hours, calls go straight to the agent. Daytime overflow is optional and can be added: your cell rings as normal, and if you do not answer, the call goes to the agent instead of voicemail. If daytime calls are your bigger problem, see missed call answering service.

After-hours routing for HVAC calls, with optional daytime overflowFlowchart for HVAC calls: after hours, calls go straight to your agent. Daytime overflow, where your phone rings first and the agent answers only if you don't, is an optional add-on. Robocalls and pitches are declined. Real callers are asked for name, number, address, and what the system is doing. Carbon monoxide or gas calls get your safety line and are marked urgent. No heat or no cool calls that match your rules are marked urgent, and paging your on-call phone is an optional add-on. Routine calls get a callback time, or a booked slot if your calendar is connected. Every call ends with a summary texted to you. Customer calls yournumber During the hours youset? Solid steps are the standard setup. Dashed steps marked OPTIONAL can be added; they are not part of every install.

After hours, every call reaches the agent. With the optional daytime overflow, you still answer first and the agent only picks up the calls you cannot.

No heat, no cool, or a tune-up: sorted by your rules

The agent asks what the system is doing and, if you want it asked, who is in the home. You decide which combinations are urgent. Safety calls, a CO alarm or a gas smell, get your approved line and an urgent mark. The agent never troubleshoots equipment.

Routine calls, tune-ups, quotes, and new system questions, are booked into an open slot when your calendar is connected, or captured with a best callback time.

What the agent asks an HVAC caller

Name. Callback number, read back. Service address. Heating or cooling. What it is doing: not starting, blowing warm, leaking, making noise. Anyone at risk in the home, if you want that asked. The best time to call back.

What your summary looks like

Illustration. Format matches what our agents write after a call; the caller is made up.

LEAD: Dana R., 816-555-0199 Need: No heat, furnace not starting. Two kids at home. Best time: tonight, any time
SPAM: Sales pitch (marketing services). Declined, call ended.
  • LEAD or SPAM: a tag so you can skip pitches.
  • Number: read back to the caller and confirmed.
  • Need: the problem in the caller's words.
  • Best time: the time they asked for.

Keep your number; setup in four steps

Your number forwards to the agent when you are closed. Setup follows how it works: audit, map, install, handoff, including a test with a fake no-heat night call before go-live.

What it costs

Pricing is scoped on the free audit, based on your hours, your calls, and how you want urgent calls handled.

Questions

FAQ

What is an HVAC answering service?

It answers your heating and cooling calls when your office is closed. Ours is an AI voice agent that answers in your company name, asks what the system is doing, marks urgent calls by your rules, and sends you the details.

Will it answer while I'm on a job during the day?

It covers the hours you are closed: nights, weekends, and holidays. Daytime overflow, where your phone rings first and the agent answers only if you don't, is optional and can be added.

How does it know a no-heat call is urgent?

You set the rules. For example, no heat with young children or older adults in the home can be urgent, while a thermostat question waits. The agent asks the deciding questions and marks the call.

What happens if a caller says their CO alarm is going off?

The agent reads the safety line you approve, marks the call urgent, and does not troubleshoot the equipment.

What do I get after each call?

A written summary by text: the caller's name, number, what they need, the time they asked for, and whether it was a real customer or a sales call.

Does it book tune-ups?

Yes. If your calendar is connected, it offers open times and books the slot. If not, it takes the best callback time so you can book it yourself.

Will it quote repair or replacement prices?

No. It tells callers pricing depends on the job and that you will go over it when you call back.

What does it cost?

Pricing is scoped on the free audit, based on your hours, your calls, and how you want urgent calls handled.
