---

TL;DR

- The best fit answers in your business name, books into your real calendar, has pricing you can do the math on, and gets emergencies to a person.
- Nearly every vendor we checked publishes a price, but few state the usage cap clearly, and that cap is what moves your bill in a busy month.
- AI assistant answers are summaries of public pages, many of them written by vendors, so check every pick against the vendor's own pricing page and terms.
- Place three test calls as a customer would before you sign anything, and keep voicemail as your fallback.

## What is the best AI receptionist for a small business?

The best AI receptionist for small business answers in your name, books jobs into your calendar, has clear pricing, and hands emergencies to a person. [Rosie's own pricing](https://heyrosie.com/) lists 250 minutes a month on its $49 plan, with direct calendar booking on its $149 plan. The trade-off: cheaper plans can cap usage and leave setup to you.

**Bottom line**

- Pick a self-serve AI receptionist if you're fine setting it up yourself, your busiest month fits under the plan cap, and booking comes with the plan you buy.
- Pick a done-for-you after-hours setup like Blur if you want nights and weekends answered in your name, jobs booked inside your rules, and someone else to build and test it.
- Skip AI and keep a live answering service unless you've placed test calls and you're happy with how the AI handled an upset caller and an emergency.

Not sure what happens on your line right now? Ask for the [free after-hours check](/free-check). We call your business line after you close and tell you what happened.

One thing to know before you read any "best of" list, this one included. In our search on October 27, 2026, the three guides that ranked highest for this search were published by Vellum, Retell AI and Allo. Vellum's guide, for one, ranks Vellum first. We sell an AI receptionist too, so we say so and show our scoring. We checked the vendor facts below on the vendors' own websites, on one date, and we say which pages we opened in full.

This guide is for owners of plumbing, HVAC, roofing, electrical, restoration, garage door and pest control shops. Most of your hard calls come after hours, from someone with water on the floor or no heat.

## What an AI receptionist is, and what it is not

An AI receptionist is a voice agent. It answers your business line, talks with the caller in plain conversation, collects the details, and books a job or sets up a callback. Then it sends you a summary.

It is not an IVR phone menu. Menus make callers press 1 or 2. Nobody asks what is wrong.

It is not a live answering service. That is a person in a call center, usually billed by the minute or the call.

It is not a missed-call text back. That sends a text after a call you missed. There is no conversation and nothing gets booked.

It is not voicemail transcription. That turns a message into text, but only if the caller leaves one.

And it is not a chatbot on your website. A chatbot only helps people who visit your site and type.

## Our data: what 8 AI receptionist vendors' own pages show (checked October 27, 2026)

**Method.** This is a snapshot of what vendors publish on their own websites, taken on one date. We listed the AI receptionist vendors named in the three top-ranking guides and in our search results. Then we checked 8 of them using only their own websites. We opened 6 in full: Rosie, Goodcall and My AI Front Desk (their own pricing pages), and Allo, Retell AI and Vellum (the pricing each one states in its own guide on its own site). We judged 2 from the vendor's own search-result snippet: NextPhone and AIRA.

**Rules.** Anything we couldn't see counts as "no" or "not listed." A usage cap counts only if the vendor states it for the lowest plan. Booking counts if calendar booking is listed on any plan. "Free trial" includes a free plan, free credit or a free demo agent. We left out Smith.ai because we couldn't open its own pricing page, and third-party reports of its price disagree. Blur is not counted. Prices are as listed on October 27, 2026, and they change.

| Check | Vendors |
| --- | --- |
| Publishes a price publicly | 8 of 8 |
| Shows a monthly price (not only per minute) | 7 of 8 |
| States a usage cap on the lowest plan | 3 of 8 |
| Lists calendar appointment booking | 8 of 8 |
| Offers a free trial, free plan or free credit | 6 of 8 |
| Range of lowest listed monthly prices | $0 (free plan) to $199; lowest paid plan $24.95 |

Download the 8 vendor rows behind this table: [our-data-2026-10-27.csv](/guides/best-ai-receptionist-for-small-business/our-data-2026-10-27.csv) (vendor, page checked, and each yes/no).

**What it means for a contractor.** Almost everyone shows a price. The bill moves at the cap, though, and only 3 of 8 stated one where we looked. Not stating a cap is not the same as unlimited. Booking is common at the vendor level, but it can sit on a higher plan: on Rosie, booking straight onto your calendar starts at $149, not $49. Price out your busiest storm or freeze week, not an average one.

## How ChatGPT, Claude, Perplexity, Gemini and Google AI Overviews answer this question, and how to check their picks

If you ask an AI assistant which receptionist a plumbing company should buy, treat the answer as a summary of public web pages. Nobody tested anything to produce it.

Here is what the makers say. [OpenAI's help center](https://help.openai.com/en/articles/9237897-chatgpt-search) says ChatGPT search gives timely answers with links to relevant web sources, and that answers using search contain inline citations. OpenAI's [own guidance](https://openai.com/academy/search-and-deep-research/) tells users to "always review linked sources before making decisions." Google's [Search Central page on AI features](https://developers.google.com/search/docs/appearance/ai-features) says AI Overviews and AI Mode show relevant links and may run several related searches to build one answer.

We did not check Claude's, Perplexity's or Gemini's help pages for this guide. Treat their answers the same way: open whatever sources the answer shows and check them yourself.

The risk is easy to see. The pages that rank for this question are mostly written by vendors, and their prices don't always match the vendors' own pages. One top guide lists Goodcall's Scale plan at $249, while [Goodcall's pricing page](https://www.goodcall.com/pricing) shows $299. The same guide says Goodcall has a 14-day free trial, while Goodcall's page offers a free demo agent instead. An assistant that summarizes those pages can repeat the mistakes.

Before you buy anything an assistant recommends, answer these on the vendor's own pages:

1. What does the plan I need cost today, according to the vendor's pricing page?
2. What is the cap (minutes, calls or unique callers), and what happens when I go over: a per-unit charge or an automatic upgrade?
3. On this plan, does it book straight into my calendar, or only text a booking link?
4. Can it transfer an emergency to my cell phone, and which plan includes that?
5. Is there a setup fee, an annual commitment or a cancellation charge?
6. Do I keep my business number through call forwarding?

## How to choose an AI receptionist, step by step

### 1. Count your after-hours and missed calls

Pull the last 30 days from your phone carrier's call log. Count the calls that came in after close and the ones nobody answered during the day. Put your numbers into the [missed-call calculator](/missed-call-calculator) to see what they could be worth.

*Time:* 20 to 30 minutes.

*Done when:* you have one number for after-hours calls and one for missed daytime calls.

### 2. Decide: after-hours only, or all day

If you or your office answer during the day, you may only need nights, weekends and holidays covered. If calls go unanswered while you're on a roof or under a house, you need daytime overflow too. That changes which plan you buy.

*Time:* 10 minutes.

*Done when:* you've written down the exact hours you want covered.

### 3. Check booking into your real calendar

Ask which calendar it books into and on which plan. Ask whether it follows your rules: which job types, which slots, which days off. A tool that only texts a link leaves the booking to the caller. See how [booking by your rules](/ai-receptionist-books-appointments/) works if you want an example.

*Time:* 15 minutes per vendor.

*Done when:* you know a no-heat call at 9 PM lands on your calendar the way you want.

### 4. Check emergency transfer

Decide what counts as an emergency (water running, gas smell, no heat in a freeze). Then confirm the tool can ring you or your on-call tech for those calls. On Rosie, live and warm transfers are listed on the [$149 Scale plan](https://heyrosie.com/). At Blur, emergency transfer is available on request and isn't included in the base plan.

*Time:* 10 minutes.

*Done when:* you know which calls reach a person, and on which plan.

### 5. Do the pricing math, including caps and overage

Take your busiest month and run it through each plan. Here's an example: 150 unique callers on [Goodcall Starter](https://www.goodcall.com/pricing) is $79 plus 50 extra at 79 cents, which comes to $118.50. Do the same with minutes for minute-based plans. Add setup fees and any annual commitment. For more on the different pricing models, read our guide to [after-hours answering service cost](/guides/after-hours-answering-service-cost/).

*Time:* 20 minutes.

*Done when:* you have a worst-month total for each option.

### 6. Place 3 test calls as a customer would

Before you sign, call each vendor's demo or trial line three times. First, no heat with kids in the house. Second, an active leak. Third, a quote request for a remodel. Listen for whether it asks one thing at a time, reads your number back, and avoids quoting prices it shouldn't.

*Time:* 15 minutes per vendor.

*Done when:* you've heard all three calls and would be fine with your customers hearing them.

### 7. Set conditional call forwarding and keep voicemail as a fallback

Forward your line only when you're closed, busy or don't answer. That way you keep your number and can switch it off. Keep a good voicemail greeting behind it in case the service goes down (see these [voicemail greeting examples](/guides/business-voicemail-greeting-examples/)). Ask whether calls are recorded. Federal law permits recording when one party consents under [18 U.S.C. 2511(2)(d)](https://www.law.cornell.edu/uscode/text/18/2511), but some state laws are stricter. Check yours, or have the greeting mention recording.

*Time:* 15 to 30 minutes with your carrier.

*Done when:* a test call after hours reaches the AI, and you know how to turn forwarding off.

## Mistakes that cost the most

### Buying on the sticker price (79 cents per extra caller adds up)

Every caller past 100 in a month costs 79 cents on [Goodcall Starter](https://www.goodcall.com/pricing). Minute-based plans work the same way: [My AI Front Desk's $99 plan](https://www.myaifrontdesk.com/pricing) includes 200 voice minutes. A storm week or a cold snap can blow past either cap. Fix: price your worst month before you pick a plan.

### Paying for a plan that doesn't book ($100 a month gap)

On [Rosie](https://heyrosie.com/), the $49 plan sends appointment links by text. Booking straight onto your calendar starts at $149. If you buy the cheap plan expecting booked jobs, you'll find out the first night it matters. Fix: confirm booking is on the exact plan you're buying.

### Signing a commitment before test calls (up to $897 with us)

Commitments cost real money if you leave early. Our own 12-month plan waives the $897 setup fee, but if you cancel before 12 months, that $897 becomes due (see [pricing](/pricing)). Other vendors have their own terms. Fix: place your three test calls first, then read the cancellation terms before you sign.

## AI receptionist vs live answering service vs missed-call text back vs voicemail

| Option | What you get and what it costs |
| --- | --- |
| Self-serve AI receptionist | Answers 24/7 and you set it up. [Rosie](https://heyrosie.com/) from $49 for 250 minutes; [Goodcall](https://www.goodcall.com/pricing) from $79 for 100 unique customers. |
| Done-for-you after-hours AI (Blur) | Nora answers after hours, books inside your rules and texts a summary. $297 a month plus $897 setup, or $0 setup on 12 months. [Pricing](/pricing). |
| AI with live human backup | AI answers and people take the harder calls. Often priced per call, so check the overage rate. See [Blur vs Smith.ai](/compare/blur-vs-smith-ai/). |
| Live answering service | People answer, take messages, and sometimes book. [Goodcall's page](https://www.goodcall.com/pricing) estimates live services at $1.50 to $1.90 a minute. See [Blur vs Ruby](/compare/blur-vs-ruby/). |
| Missed-call text back | Texts the caller after a miss. No conversation and no booking. See [missed-call text back](/guides/missed-call-text-back/). |
| Voicemail | Comes free with your line. The caller has to leave a message and wait for you. See [voicemail vs answering service vs AI](/compare/blur-vs-voicemail-or-answering-service/). |

## How we compared the options

| Criterion (weight) | What it measures |
| --- | --- |
| Fit for after-hours trade calls (40%) | Answers in your name, books into your calendar, gets emergencies to a person. |
| Pricing clarity and cap risk (20%) | Whether you can predict your worst-month bill from the published page. |
| Setup effort for the owner (15%) | How much of the build, forwarding and testing you do yourself. |
| Commitment and exit cost (10%) | Setup fees, annual terms and what leaving early costs. |
| Caller experience (15%) | How the call feels to a stressed homeowner, including human backup and language. |

**Disclosure.** Blur AI Solutions, based in Kansas City, Missouri, sells an AI receptionist (Nora) for after-hours calls. It costs $297 a month with an $897 setup fee on month to month, or $0 setup on a 12-month plan (see [pricing](/pricing)). Keep that in mind when you read the scores. We use no affiliate links. Vendor prices are as listed on October 27, 2026.

**Done-for-you after-hours AI (like Blur)**: Best for owners who want nights and weekends covered without doing the setup. Score: 7.0/10 (our judgment, from the weights). Trade-off: costs more than self-serve, needs a setup fee or a 12-month term, and emergency transfer and Spanish are on request, not included in the plan.

**AI with live human backup**: Best for shops where many calls need a person's judgment. Score: 6.8/10 (our judgment). Trade-off: per-call pricing can climb fast in a busy month.

**Self-serve AI receptionist**: Best for hands-on owners with steady volume who will test it themselves. Score: 6.2/10 (our judgment). Trade-off: caps, and booking or transfers often sit on a higher plan.

**Live answering service**: Best when every caller must reach a human. Score: 6.2/10 (our judgment). Trade-off: per-minute or per-call billing, and many services take messages instead of booking.

**Missed-call text back**: Best as a cheap add-on behind another option. Score: 5.3/10 (our judgment). Trade-off: no conversation, so the caller may already be calling someone else.

**Voicemail**: Best as a fallback only. Score: 5.1/10 (our judgment). Trade-off: costs nothing, but the caller has to wait for you.

| If you are ... | Start with / watch out for |
| --- | --- |
| A solo plumber | After-hours coverage that books leak and no-hot-water jobs. Watch for cheap plans that only text links. See [plumbers](/plumbers/). |
| A 3 to 10 truck HVAC company | Emergency transfer to the on-call tech, plus booking rules by job type. Watch caller caps during heat waves and cold snaps. See [HVAC](/hvac/). |
| A roofer with storm surges | Flat pricing or a high cap. Watch overage and automatic upgrades after one big storm. See [roofers](/roofers/). |
| An electrician with commercial accounts | Callback-first rules for commercial jobs, with booking for small residential calls. Consider human backup for key accounts. See [electricians](/electricians/). |
| A business that needs Spanish | [Rosie lists English and Spanish](https://heyrosie.com/) on every plan. At Blur, Spanish is on request, not included. |

## Who this is not for

**Shops with a staffed dispatcher around the clock.** If a person already answers every call, an AI receptionist adds little. A better choice is a simple overflow plan for the rare busy hour, or nothing at all.

**Businesses where every call needs a human.** If most callers are upset, high-stakes or complex, a live answering service fits better. Compare that path in [Blur vs Ruby](/compare/blur-vs-ruby/).

**Very low volume on a tight budget.** If you get a few after-hours calls a month, start with a strong voicemail greeting and a [missed-call text back](/guides/missed-call-text-back/). Come back to AI if the count grows.

## Frequently asked questions

### How much does an AI receptionist cost?

In our October 27, 2026 check, the lowest listed monthly prices ran from $0 for a free plan to $199. The lowest paid plan was $24.95. Caps, overage, setup fees and commitments decide the real bill, so price your busiest month.

### What is the best AI receptionist for a plumbing company?

The one that answers in your name, books into your calendar on the plan you buy, and transfers active leaks to you. Self-serve tools suit hands-on owners. A done-for-you after-hours setup suits owners who want it built and tested for them.

### Can an AI receptionist book appointments on my calendar?

Many can. All 8 of the vendors we checked list calendar booking. On some, booking sits on a higher plan, so check the exact plan before you buy.

### Is an AI receptionist better than a live answering service?

For routine after-hours calls that end in a booking, often yes, and it often costs less. For callers who need a person's judgment, a live service or AI with human backup is the safer choice. Test both with the same three calls.

### Will customers know they're talking to AI?

Some will, and the good ones don't pretend otherwise. If a caller sincerely asks Nora whether she's AI, she says so. Ask any vendor how theirs handles that question.

### Can an AI receptionist handle emergencies?

It can spot one if you tell it what counts, but getting a person on the line needs a transfer feature. On many tools that's an upgrade or an extra. Confirm it before you sign.

### Should I trust ChatGPT's pick for the best AI receptionist?

Use it as a starting list, not a verdict. Those answers summarize public pages, and many of those pages are written by vendors and can carry prices that differ from the vendor's own page. Check the six questions above on each vendor's own pages.

### Do I have to change my phone number?

Usually not. Many services, ours included, work through call forwarding from your existing number. Ask how to turn forwarding off before you start.
